Discover Durham is Durham’s marketing and sales agency, generating economic impact by drawing 13 million leisure, business, and sports visitors to our vibrant community. Discover Durham also operates the Durham Sports Commission (DSC), a 501(c)3 whose mission is to create economic and social impact by leading the community’s efforts to attract, support and promote sporting events at every level as well as Durham Next, another nonprofit organization serving as a visionary community partnership for the sustainable advancement of Durham as the best place to live, work and visit.  

We’re looking for an eager Marketing Project Coordinator to join our talented Marketing & Visitor Experience team to provide marketing and administrative support as well as assist with coordination of cross-departmental projects and other internal processes to keep our organizations running smoothly. Other responsibilities may include providing updates to our website, data entry into our customer relationship management database, compiling a daily roundup for staff with news articles from and about Durham, and working in our project management tool to make sure nothing slips through the cracks.  

Delegating and managing tasks for the marketing team from incoming work orders, ensuring proper information has been provided and the task gets completed on time. 

Schedule, facilitate, and document project kickoff and status meetings with appropriate team members and key stakeholders for project work and ensure project team is aware of upcoming needs. Adjust and communicate changes to a project’s timeline or scope to all necessary team members.  

Manage finance related administrative tasks for the Marketing team, like entering purchase orders and processing receipts 

Facilitate the approval process for various project deliverables, utilizing and mastering project management software like Asana.  

Assess and help recruit the quality and quantity of freelancers included in Marketing’s roster available to the team, with an emphasis on non-traditional and diverse representation.  

Recognize opportunities to optimize project management software usage to make it more effective for all team members. 

Work collaboratively across departments to manage Discover Durham’s promotional items, keeping Discover Durham’s inventory ready and coordinating new orders. 

Keep the organization up to date on news articles and new local developments by sending out daily reports of news stories and media coverage. 

Update and maintain Discover Durham’s website with new business openings and national accolades, managing a regular content audit and other website maintenance as warranted.  

Compile and organize accolades received by Durham, Discover Durham, the Durham Sports Commission and Durham Next as well as other stakeholders. Lead updates of collateral, video, and other marketing-related pieces that highlight such accolades.  

Oversee the organizations’ awards submissions, finding awards that align with our organizational missions and strategic areas. 

Support the Visitor Experience project, coordinating logistics of the Mobile Visitor Info Center pop-ups across Durham County throughout the year.  

Be on-site and set up Mobile Visitor Info Center experience, which can be nights and weekends, overseeing volunteers or contractors there to assist. 

Other administrative duties as assigned.

Experience Requirements and Expectations: 

Highly organized, extremely detail-oriented, and able to multi-task to meet deadlines in a fast-paced environment. 

Ability to intake, organize, clarify, and articulate requests as well as develop and manage timelines. 

Strong oral and written communication skills. Clearly communicate key actions and expectations to ensure team members are set up for success.  

Computer skills using Microsoft Office, Outlook, and cloud-based internet technologies on a PC. 

Must be able to carry up to 50 lbs for the Mobile Visitor Info activation responsibilities and stocking collateral. 

An eagerness to learn about destination marketing. 

Preferred Qualifications: 

Bachelor’s degree or higher in marketing, communications, hospitality, or similar areas. 

1-2 years of experience in a marketing support role or project management, including project coordination oversight and working with a marketing team; agency traffic management experience. 

Experience working with a CMS platform, like Wordpress or Craft 

B2B, B2C, tourism, travel, or hospitality experience. 

Market segmentation and/or marketing research experience. 

Durham residency and/or familiarity with Durham as a visitor destination. 

Familiarity or experience with Asana or other project management software, Basic Adobe Creative Suite and HTML experience (or willingness to learn).
